Privacy policy.

This policy explains how PROSPACE OÜ (registry code 16821459, Vana-Kalamaja 8–110, 10412 Tallinn, Estonia) processes personal data sent through shadowgapprofiles.com. PROSPACE OÜ is the controller. Contact for data protection: info@prospace.ee.

What we collect

The details you enter in our forms: name, company, work email, phone, country, VAT number, delivery address, company type, website, number of sales representatives, product interests, subject and message. Name, company, work email and country (and, for samples, VAT number and delivery address) are required to handle your request. With each form we also record the page, language, time, IP address and browser type to prevent abuse. We collect anonymous usage statistics without cookies.

Why we use it and on what basis

To answer your enquiry and follow up on that conversation (legitimate interest, Art. 6(1)(f) GDPR); to assess a partner application and send samples or documents at your request (steps before a contract, Art. 6(1)(b)); to keep the website secure and understand how it is used (legitimate interest). We do not make automated decisions about you.

VAT number check

For sample requests we check the VAT number you give in the European Commission’s VIES service to confirm that the request comes from a business.

Who receives it

Our team; our service providers acting on our instructions — Vercel Inc. (website hosting, form processing and analytics), Resend Inc. (sending form emails) and our email provider; and, if your country has an official partner, that partner, who handles your enquiry as an independent controller. We do not sell personal data.

Transfers outside the EU

Vercel and Resend are based in the United States. Transfers rely on the EU–US Data Privacy Framework and/or the European Commission’s Standard Contractual Clauses.

How long we keep it

As long as the business conversation is active and no longer than 24 months after the last contact. Applications that do not lead to cooperation are deleted within that period. Contracts and invoices are kept as long as accounting law requires (7 years in Estonia). Server logs are kept for a short period by our hosting provider.

Your rights

You may request access to your data, correction, deletion, restriction of processing and data portability, and you may object to processing based on legitimate interest — write to info@prospace.ee. We reply within one month. You may also complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, Tatari 39, 10134 Tallinn, info@aki.ee) or to the authority in your own EU country.

Cookies and browser storage

We do not use cookies for analytics or advertising. If you close the language suggestion bar, your browser remembers that choice in local storage; this is strictly necessary for the function and contains no personal data.
